Marketing Services & Process Guide
This guide explains what we do on each channel, how a campaign runs from brief to closing report, what we need from you, and how ad spend, revisions and reporting work. It is a reference document — there is nothing to fill in or return. Turnarounds and inclusions below are typical; the terms that bind us are the ones stated in your signed services agreement.
Section 1 — What We Do, Channel by Channel

- Keyword research, match-type strategy and negative-keyword hygiene
- Responsive search ads, extensions, and landing-page alignment reviews
- Shopping feed setup and optimisation for retail and e-commerce accounts
- Technical audit, site structure and internal-linking recommendations
- Keyword and topic mapping, on-page optimisation of priority pages
- Article and landing-page copy written to a brief you approve before drafting starts

- Creator shortlisting, audience-quality vetting and rate negotiation
- Briefing, content approval, disclosure compliance and posting schedule
- Whitelisting and paid amplification of creator content where the licence allows
- Concepting, art direction and copywriting to your brand guidelines
- Photo and video shoots, editing, subtitling and platform-specific resizing
- Stock, music and font licensing sourced and documented per asset
Typical turnarounds, measured from the moment we have a complete brief and all assets:
| | |
|---|
Paid social campaign build | Campaign structure, audiences, tracking and first creative set | |
Paid search account build | Keyword plan, ad groups, ad copy and conversion tracking | |
| Prioritised findings document plus a fix roadmap | |
Long-form article or landing page | Approved outline, then a full draft optimised for the target query | 5 business days per piece |
| Segment, built template, copy, test send and scheduled send | |
| Creator shortlist, rates, briefs and a posting schedule | |
Creative production (photo / video) | Concept, shoot, edit and platform-sized master files | 3–4 weeks from concept sign-off |
| Work brought forward ahead of the queue, quoted before we start | |
Section 2 — How an Engagement Runs
- Brief. You tell us the objective, the audience, the budget and the deadline. We turn that into a written scope so both sides agree what "done" looks like before anything starts.
- Kickoff. A 60-minute call to confirm objectives and success metrics, agree the approval chain, and collect brand assets and platform access.
- Strategy. We present the channel mix, budget split, messaging territory and measurement plan. Nothing goes into production until this is approved.
- Creative production. Copy and design are produced against the approved strategy, then sent for review in one consolidated batch per deliverable.
- Launch. Tracking is verified, campaigns go live, and we monitor daily through the learning period, adjusting budget and bids as the data comes in.
- Reporting and review. You receive scheduled performance reports, and a closing report at the end of the campaign with results against the agreed metrics and recommendations for the next round.
- Every deliverable includes two rounds of revision as standard.
- A round is one consolidated set of feedback — collected from everyone on your side and sent to us together, in one message.
- Refinements within an approved direction — wording, crop, colour, layout tweaks — sit inside the current round.
- A new round starts when feedback arrives after we have already actioned that round, when a new stakeholder joins late with fresh comments, or when a direction that was already signed off is reversed.
- Changes to the objective, audience or channel mix after strategy sign-off are a new scope, not a revision, and are quoted separately.
- Additional rounds are billed at the hourly rate in your agreement, always quoted before we begin.
Section 4 — What We Need From You
- Brand guidelines — logo files in vector format, colour values, approved fonts and tone-of-voice notes.
- Product and lifestyle photography at full resolution, plus any video footage you already own.
- Confirmation that you hold the rights to every asset, claim, testimonial and customer image you send us.
- Delegated access to your advertising, analytics, email and social accounts through each platform's own permission tools — never a shared password.
- A single named approver with authority to sign off, plus the names of anyone else whose comments must be gathered before feedback reaches us.
- Any legal, regulatory or compliance wording that must appear on the work, and anything we are not permitted to say.
- Early warning of promotions, launches, stock limits or blackout dates so the media plan lines up with them.
Section 5 — Reporting Cadence & Metrics
Reports are delivered on the schedule below and always compare the period against the one before it, so you can see direction of travel rather than a single snapshot.
| | |
|---|
| Spend, reach, CPM, CTR, conversions, cost per result, ROAS, top creative | Weekly summary, monthly deep-dive |
| Spend, impression share, CPC, CTR, conversions, cost per acquisition, top queries | Weekly summary, monthly deep-dive |
| Organic sessions, ranking movement on tracked terms, indexed pages, organic conversions | |
| Delivered, open rate, click rate, unsubscribe rate, revenue per send, list growth | Per send, plus a monthly roll-up |
| Posts live, reach, engagement rate, saves and shares, referral clicks, code redemptions | |
| Results against the agreed objective, blended cost per acquisition, what worked, what to change next | Closing report at end of campaign |
Section 6 — How Ad Spend Works
- Ad spend is always separate from our fees. Our fee pays for the work; the media budget pays the platform.
- We quote a recommended monthly media budget per channel at the strategy stage, with an expected range of results at that level.
- Spend is either billed directly to your own payment method on the platform, or pre-funded to us before campaigns go live. We do not advance media budget.
- Ad spend is passed through at cost. Where a handling fee applies it is stated in your agreement, never added silently.
- Every month we reconcile spend against the platform's own invoices and show you the figures side by side.
- Any pre-funded balance left at the end of a campaign is refunded or credited against the final invoice — it is your money, not ours.
- Platform auctions move. Cost per result varies with season, competition and creative fatigue, so we manage to a target range rather than a fixed number.
Section 7 — Approvals & Response Times
- We answer email and messages within one business day. Live-campaign issues are picked up the same business day.
- We ask for feedback or approval on a deliverable within three business days of sending it.
- Feedback comes from your named approver in one consolidated message, not from several people separately.
- If approval is late, the delivery date moves by at least the same number of days — production slots and media bookings are reserved in advance and cannot simply be held.
- Where a placement, shoot or send date is fixed, a late approval may mean rebooking at additional cost, or the slot being lost for that cycle.
- We will never publish anything on your behalf that has not been approved in writing.
Section 8 — Frequently Asked Questions
How soon will we see results?
Paid channels produce data within days, but the first two weeks are a learning period and early numbers are not representative. SEO and content typically take three to six months to show meaningful movement. We will tell you at the strategy stage which timeline applies to your mix.
Who owns the ad accounts and the creative?
The ad accounts are yours and stay yours — we work inside them under delegated access. Final approved creative transfers to you once the project is paid in full, subject to any third-party asset licence terms.
Can we use the campaign assets after the campaign ends?
Yes, within the licence recorded for each asset. Stock imagery, music, fonts and creator content carry their own term and territory, and we note those at the point of approval so nothing expires unnoticed.
What happens if we want to change direction mid-campaign?
Tell us as early as you can. Adjusting budget, audience or creative inside an approved strategy is normal optimisation. Changing the objective, the channel mix or the offer is a new scope, and we will quote it in writing before any work moves.
Do you guarantee a specific number of leads or sales?
No. Platform results depend on auction conditions, seasonality, your pricing and your offer — factors outside our control. We commit to the work, the method and the reporting, and we set realistic target ranges rather than promises.
What if we need something urgently?
Ask. We will tell you honestly whether the capacity exists. Rush work is quoted before it starts and never billed as a surprise line on an invoice.
This guide is general information about how we work and is not a contract. Where it differs from your signed services agreement, the agreement applies.
