Homestay & Accommodation Agreement
This agreement covers accommodation only and sits alongside — it does not replace — the enrollment agreement for the course itself. It sets out where the student will live, what is provided, the rules of the household, and what happens if the placement has to change. It becomes effective when BOTH parties have signed below. The Agency placement coordinator completes the placement details, signs first, then shares this document with the student or guardian for review and countersignature — either in-app, or by printing, signing and uploading a scanned copy.

Section 2 — Placement Details

Unless agreed otherwise in writing, check-in is from 14:00 on the arrival date and the room must be vacated by 10:00 on the morning after the last night. Extra nights are charged at the standard nightly rate and are subject to availability.
Section 3 — Meals & What Is Provided
Dietary requirements and allergies the host must accommodate:
The placement includes a bed, storage, study space, heating, utilities, and weekly laundry or laundry access. Missed meals are not refunded or replaced. Special diets that require separately sourced ingredients may carry a supplement, which is quoted before the placement is confirmed.
Section 4 — House Rules & Curfew
- The Student follows the household's routine for meal times, bathroom use, quiet hours and shared spaces, and keeps their room and shared areas clean.
- The Student tells the host in advance if they will miss a meal or return late, and always says where they are going and when they expect to be back.
- Smoking, vaping, illegal drugs and — for students under the local legal drinking age — alcohol are not permitted on the premises.
- Students under 18 are subject to a curfew set by the host and the program: typically 22:00 on school nights and 23:00 at weekends, unless supervised by the host or on a school activity.
- An under-18 student who will be away overnight requires the written consent of the parent or guardian and the agreement of the host and the Agency, arranged in advance.
- Keys are the Student's responsibility; replacing lost keys or locks is chargeable.

Section 5 — Guests & Overnight Visitors
Daytime visitors are allowed only with the host's prior agreement, and never when the host is out. No overnight guests are permitted in the accommodation at any time. Family members visiting the destination must stay elsewhere; the Agency can suggest nearby options. Any person staying overnight without the host's written consent is a material breach of this agreement.
Section 6 — Damage, Insurance & Liability
The Student is responsible for loss or damage they cause to the property or its contents, beyond fair wear and tear, and agrees to settle the cost of repair or replacement before departure. Personal belongings are not insured by the host or the Agency — the Student must hold travel and contents insurance for the whole stay. The Agency arranges and monitors the placement but does not own or manage the property and is not liable for the acts or omissions of the host, nor for loss, injury or expense arising from events beyond its reasonable control.

Section 7 — Transfer & Relocation
- Raise the concern with the host directly where it is safe and appropriate to do so — most issues are about meals, laundry, heating or curfew and resolve quickly.
- If it does not resolve within 48 hours, contact the Agency's local coordinator, who will speak to both sides and record the issue.
- If a move is warranted, the Agency requests a relocation from the provider. A replacement placement is normally offered within five working days; the standard of accommodation will be equivalent, but the location may differ.
- Where there is a safety or safeguarding concern, the student is moved immediately and the reason is documented afterwards.
- A first relocation on reasonable grounds carries no fee. Later moves requested purely by preference may carry a placement fee and any rate difference.
Section 8 — Accommodation Cancellation & Early Departure
Cancellation of the accommodation must be given in writing and is separate from cancelling the course. Cancelling more than 30 days before the arrival date releases the accommodation charge less the placement fee. Inside 30 days, the provider's own cancellation scale applies and at least two weeks' charge is normally retained. Once the stay has begun, four weeks' written notice is required to end it early; nights inside that notice period are payable whether or not the room is used. No refund is given for absences, holidays taken during the stay, or dismissal from the program for misconduct.
